Admin Setup (First-Time Installation)

These steps are only required once per org and must be completed by a Salesforce Admin before end users begin using Recruiterbolt.

1. Base Management (Required)

  1. Navigate to Company-Wide Settings → Base Management.

  2. Under Object API Name, type Contact, select Entity Type: Person, then click Add Object.

  3. Repeat for any additional objects (e.g. Account, Lead).

  4. Enable the following options for each configured object:

    • ✅ Enabled

    • ✅ Createable

    • ✅ Updateable

    • (optional) ✅ Resume Attachment

  5. Click Update beside each object after any change to push updates to all users.

Important: Hitting “Update” under each object in Base Management ensures object configuration is synchronised for the entire org.

2. Field Mapping (Required)

  1. Go to Company-Wide Settings → Field Mapping → Contacts.

  2. Map Recruiterbolt fields (e.g. First Name, Last Name, Email, Title) to their corresponding Salesforce Contact Fields.

  3. Check both Create and Update for each mapping so Recruiterbolt can populate and update these fields automatically.

  4. Click “Update” under each object in Base Management after finishing your changes.

3. Predefined Field Values (Optional)

  1. Navigate to Company-Wide Settings → Predefine Values → Contacts.

  2. Select a Predefined Value (e.g. Web, Partner, Trade Show).

  3. Choose the corresponding Salesforce Field (e.g. Lead Source (Picklist)).

  4. Select whether this should apply on Create and/or Update operations.

  5. Save changes and click “Update” under each object in Base Management to propagate the change to all users.

4. Verification

After setup, test by creating a new contact from the Recruiterbolt Chrome extension. Confirm that mapped fields and any predefined values are correctly populated in Salesforce.

Pin the Recruiterbolt Extension to your Chrome Toolbar

Do you see the Extension in Chrome at all times?

If not, then click the Extensions ‘Jigsaw Puzzle’ icon in the top right of your Chrome Browser and then click on the ‘Pin’ icon, when the pin becomes blue Recruiterbolt's icon will now stay pinned within your browser for easy access.

Different levels of matching

Not all matches are made equal, by matching, we are referring to the search of matching Salesforce records in your CRM or ATS in relation to a search (for example the name of a person or company).

When matching records are found you might see different words used to describe them:

  • Exact Match means that we have matched a record based on the Source Profile URL, to ensure that you benefit from this feature please have your Salesforce admin follow these steps to enable Source URL Mapping in your org.

  • Match (or Regular Match) means we have matched a record based on what we believe to be the First Name and Last Name. We also attempt to use "Fuzzy Matching", so “Kat Smith” will match with “Katherine Smith” wherever possible.

  • Possible Match means that we have matched a record based on the First Name and Last Name, but not anything else (i.e. a common company linked to the record). For common names, like “Bob Smith”, this might match to the wrong person.
